4 New Rules for times of crisis!

1. Don't dumb down, smarten up

In times of crisis, organizations need to be smarter and more agile, not less. It must be “all hands on deck”, to help understand the situation, respond appropriately and timely, to find and seize those opportunities that lie hidden in every crisis. Response to a crisis requires coordination, not disintegration.

The issue? Meetings. Meetings are the place and the occasion where organizations 'think'. The 'right' people meet to make sense of the situation. To find and develop solutions. To agree the way forward and coordinate action.

The current crisis disrupts the capacity of organizations to ‘think’ and coordinate. Ordering people to work from the home – however necessary – is problematic because web conferences and team chatting tools haven’t suddenly become good enough to replace ‘real’ collaborative meetings. They choke off what is most needed: dynamic interaction between those who know. Insight into what’s going on and what it means in practice. Ideas that solve problems and mitigate risks.

Setting joint priorities and finding consensus on how to move forward on what and when.

Such sense and decision-making capability is required at all levels of the organization.

MeetingSphere has the solution.

Atomization and disintigration of the organization

2. Web conferences and collaboration platforms cannot replace meetings

In a virus crisis, organizations do well not to put their key people at risk by forcing them into the same room. At the same time, they should not kid themselves that web conferencing, chat and collaboration platforms are suddenly adequate for keeping an organization responsive or even agile. Of course, web conferences are useful and so is online collaboration on spreadsheets or texts. But, as most know from personal experience, there are good reasons why - after more than 20 years - such tools have failed as a substitute for real meetings.

Web conferences: Easy to attend, hard to stay tuned.

3. Organizations must have effective Online Meetings

Without the traditional fallback of meeting face-to-face, organizations must move beyond web conferencing. This is no easy challenge, since an effective online meeting solution must bring several factors together.

Interaction in meetings needs to be dynamic to be effective

For example, a multitude of contributions from many perspectives are excellent. But they are relatively useless if the list is too long to handle as in ‘200 ideas. Excellent. What now?’

MeetingSphere provides a whole suite of collaborative workspaces which provide all that is needed for effective meetings. In a MeetingSphere meeting, participants can

  • contribute when they have something to contribute (learn more)
  • share honestly what they think and know (learn more)
  • see that their ideas, opinions and comments are fairly considered (learn more)
  • prioritize together what warrants further attention and should be done (learn more)
  • get an unbiased and comprehensive record of the meeting without delay (learn more)

With MeetingSphere, participants interact dynamically and work together, possibly even better than face-to-face. They can produce the required outcome, when needed: well considered decisions based on the full range of facts, opinions and ideas, all questions asked, supported by general consensus.

In a crisis, nothing less will do.

MeetingSphere online-meeting capability can be deployed almost instantly.

4. Adopt best practice and scale fast

Organizations can facilitate and accelerate adoption of the new meeting ‘best practice’ by providing templates to meeting leaders for their most important and most frequent meetings.

MeetingSphere workspaces are combined and configured in an agenda to produce the required outcome. These agendas can be easily re-used again and again, saving time and being improved with use and turned into templates, for others to use, without having to learn all about MeetingSphere first.
